Position Objective

Manage and maintain the office of the Manager and ensures smooth operations that reflects the business objective of the Region.

Principal Accountabilities
Specifically you will be responsible for ensuring that you:

• Type and draft various documents accurately on time and in accordance with the specific needs for which the document is required.
• Effective maintenance of electronic and manual filing systems and updated index to ensure proper maintenance of records and easy retrieval of documents.
• Receives and dispatch all correspondence in the Region.
• Make travel arrangements for the Manager and other staff in the Region
• Performs administrative and clerical functions as assigned by the Manager
• Maintain a diary of appointment, advice and remind the Manager of the same to ensure smooth running of the office
• Manage office equipment and machines, to ensure performance is maintained.
• Attend visitors to ensure that they are friendly received and attended to.

Minimum Required Qualifications

• Form IV/VI
• Holder of Diploma in Secretarial or full secretarial certificate with:-
• Typing speed 50WPM (Stage III).
• Office Practice stage II
• Secretarial duties stage II
• English stage II
• Shorthand /Hatimkato 80/100
• Management Development for Executive Assistants (MDEA) Level 1 or 2 from a recognized institution will be an added advantage

Remuneration

An attractive compensation package based on performance and consummate with the responsibility will apply to the successful candidates. The position terms of employment are performance based unspecified contract.

Job Purpose:

The Finance and Administrative Officer shall be responsible for maintaining financial, accounting, administrative and personnel services in compliance with the internal and' statutory financial and accounting policies and procedures. -

Responsibilities:
Administer and monitor the financial system in order to ensure that the Association finances are maintained in an accurate and timely manner
Ensure compliance with the internal and statutory financial and accounting policies and procedures
Ensure preparation of monthly/quarterly, half yearly and Annual reports
Ensure preparation of Projects financial reports
Assist in coordinating program events including logistic arrangements
Ensure collection and banking of the Clinic income
Administer payments for seasonal staff
Ensure regular maintenance and prompt repair of office equipment
Administer purchases of clinic consumables/expendables
Certification of bills and other claims for approval of payment
Communicate with suppliers, consultants on financial Matters including follow up on payments to creditors and from debtors
Carry out general office administration services including transport needs, staff leave roster.
Administer quality assurance of commodities.
Conduct commodities stock taking and reconciliation on monthly basis for control purposes.
To work with volunteer and staff in identifying lobbying and recruiting cooperate and Life-Members of UMATI and-utilizing
them for Association benefit _
Perform such other related duties as may be assigned

Qualifications/Experience Requirements:
A successful candidate must possess a Bachelor Degree in Finance/Commerce/Accounting. Membership in a Professional Accounting body (desired).
At least 3 years working experience in the related field.

Knowledge, Skills and Personal Attributes:
Knowledge of computerized accounting programs
Knowledge of administration of employee benefits
Knowledge in managing donor funds
Excellent communication and interpersonal skills
Excellent computer literacy skills, including skills in Word, Excel, PowerPoint and Access databases
