Job Description
TERMS OF REFERENCE
Proposal for a QuickBooks accounting software for a Not-For Profit organization The Health & Insurance Management Services Organization (HIMSO) is a local Tanzanian NonGovernmental Organization (NGO) established to support the community (low income earners) through health programs interventions and set up technical expertise for the development of social protection, particularly to the micro health insurance institutions through Public – Private Partnership (PPP) approach.
The Health & Insurance Management Services Organization (HIMSO) is a multi-donor funded organization and is currently operating in three Districts of Kyela, Rungwe and Busokelo for Mbeya Region and one District of Mbozi for Songwe Region, with a vision of extending its services to other regions out of Mbeya and Songwe. The HIMSO Head Quarter offices are in Mbeya City.
HIMSO is set to implement this project with accountability, transparency, a high level of financial integrity and compliance to global accounting regulations and procedures.
HIMSO is currently soliciting for a firm or individual vendor with experience in procurement, installation and training of QUICKBOOKS Accounting software.
Objective:
The objective of this assignment is for a QuickBooks software expert to purchase, install and train HIMSO accounting unit on a relevant and suitable QuickBooks package, Nonprofit Edition.
Proposing firm/individual/vendor will:
Successfully Install QuickBooks
• Deploy QuickBooks Client-Server:
• Conduct systems (Hardware/Software) requirement checks
• Network requirement checks Conduct software/Windows update checks
• Conduct server capability requirement checks
• Install Add-ons
• Install QuickBooks server Install QuickBooks on client systems
• Link and test connectivity between the server and the clients
• Create users with privileges
• Provide three (3) Months Free Support (If any)
Create Charts of Accounts:
• Create of HIMSO and other Project Account codes
• Ledgers Creation
• Customers creation
• Vendors Creation
• Thematic Areas Creation
Train HIMSO Staff:
• Posting of Opening Balance
• Posting of Vouchers from the bank account
• Posting of Journals
• Uses of Trial Balance
• Uses of the Balance Sheet and Statement of Revenue and Expenditure
• End of Month Financial report
• Customizing financial reports as per donor requirements
• Pipeline Analysis report generation
• Use of analytical accounting (per district, per kind of expense)
• Management of equipment and amortization table
• Management of the staff (vacation, timesheet) Saving of accounting data
• Payroll Management
• Other uses of QB
General Requirements of the Vendor:
• Minimum of five (5) years’ experience in QuickBooks
• Prove to have experience with QuickBooks installation and training
• Prior working experience with QuickBooks accounting Software
• Must provide verifiable professional reference with regard to proficiency in QuickBooks for non-profits organizations.
• The vendor must propose a time schedule for the installation of the application and training of the staff
• Price must detail: purchase license, yearly rights to use it, installation, initial training, hot line
Duration of the Assignment
The activities are to be completed within the agreed time from the date of the official signing of the contract for the consultancy.
If vendor fails to complete the assignment within the agreed time they will continue with service to completion at their own cost.
List of deliveries:
• Relevant and suitable QuickBooks package
• Evidence of all the posting of HIMSO past and present expenditures in the quick book.
N/B: Upon successful application, vendor will be required to cover their own costs for the interview process.
